Toy Freight Quote Checklist: Make Every Provider Price the Same Shipment

One freight quote is lower. Another promises a shorter transit time. A third says “door delivery,” but the destination charges are not clearly explained.

Which offer is better?

Until the providers are pricing the same shipment and service scope, the totals do not answer that question. A toy freight quote checklist helps establish a common starting point before the comparison begins.

For a wholesale toy order, that means more than sending a piece count and asking, “How much to ship to California?”

Send One Complete Request to Every Provider

Prepare your toy freight quote checklist as a single shipment brief and use it for all quotations. DHL’s freight quotation guidance identifies dimensions, weight, route, transport mode, and additional services as factors affecting the price.

Your toy freight quote checklist should cover these five areas.

Exact pickup and delivery locations. Provide the origin and destination countries, complete addresses, and postal codes. Identify whether the quotation should begin at the factory, a consolidation warehouse, an airport, or a port.

At destination, distinguish a commercial warehouse from a store, residence, or third-party fulfillment center. “Los Angeles delivery” does not describe the receiving conditions.

The packed shipment. State the number of cartons or pallets, external dimensions for each size, gross weight, and measurement units. Identify whether the cargo is loose or palletized and whether it can be stacked.

A carton containing Unicorn Squishy Toys may have a different packing configuration from another design. A mixed order of fidget toys needs a packing breakdown, not an assumed average carton size. Use the carton cube calculation guide to prepare the volume figures without confusing them with billable weight.

Commodity and handling details. Describe the goods accurately, including relevant materials and any batteries, liquids, or other contents requiring review. Provide product specifications or safety data sheets when requested.

Do not describe every squeeze toy as “foam toys” if the shipment contains different constructions. Let the provider assess the actual goods and applicable service requirements.

Readiness and timing. Give the expected cargo-ready date and required delivery date. Explain whether the deadline is firm or flexible.

Ask where the stated transit time begins and ends. Port-to-port transit does not include every step between the factory and your receiving location. A toy freight quote checklist should keep production completion, cargo availability, and transport time separate.

Delivery services and commercial terms. Specify any appointment, liftgate, inside-delivery, limited-access, or receiving-hour requirements. Ask which services are available for the proposed shipment and which incur additional charges.

FedEx Freight’s quotation tool, for example, asks about handling units, stackability, dimensions, and special handling. Those details belong in the initial request.

For an international purchase, include the agreed Incoterms® rule, named place or port, and version. The ICC’s official Incoterms guidance explains how the rules allocate responsibilities, costs, and risks between buyer and seller. Avoid using a trade term without its named location.

A Lower Total May Cover Less

Consider two hypothetical offers for the same order.

Provider A quotes transport to the destination port. Provider B includes transport to the buyer’s warehouse and specified destination handling. Provider A’s lower headline total cannot establish a saving until the missing services are priced.

Use the same toy freight quote checklist to review what each offer includes:

  • Origin pickup and handling.
  • Main transport and applicable surcharges.
  • Destination terminal or handling charges.
  • Customs brokerage and the stated treatment of duties and taxes.
  • Final delivery and requested receiving services.
  • Cargo insurance or other shipment protection, if requested.

Ask providers to identify exclusions and conditional charges explicitly. Do not assume “door-to-door” means every possible expense is included.

For U.S. LTL service, ask whether a freight classification is required and have it confirmed for the actual shipment. Avoid assigning one simply because the goods are toys.

The toy freight quote checklist is a comparison tool, not a guarantee that every charge can be fixed in advance. Inspection, storage, redelivery, or changes to the shipment may create costs outside the original assumptions.

Keep the Quote Attached to Its Assumptions

Before selecting an offer, confirm its currency, expiration date, service scope, and payment conditions. Ask whether the price depends on a particular departure, booking deadline, cargo-ready date, or final measurement.

If packaging or quantities change, update the shipment brief and request written confirmation of the revised price. If you select a different provider, send that provider the final receiving requirements rather than relying on an earlier discussion.

Keep the completed toy freight quote checklist with the packing specification and quotation reference. When someone later asks why the invoice differs, the team should be able to compare the shipment actually tendered with the shipment originally priced.
